The "Data Import Flowchart" visually outlines the process of importing data into the payroll system. It highlights each step, from file analysis and validation to error detection and successful import. The flowchart helps users understand the sequential process and ensures efficient data integration while minimizing the risk of errors.

(1) Business Units import can be used to ADD the structure of your accounts by Branch, Sector or Departments. Import type ‘Business Units’ must be selected to import this data.
Business Units must exist before importing another set of data into the system i.e., Customers, Workers, Placements, Timesheets.
(2) Customers import can be used to ADD clients to the accounts. Import type ‘Customers’ must be selected to import this data.
(3) Worker import can be used to ADD PAYE, Contractors, or Supplier Worker. Import type ‘Workers’ must be selected to import this data.
(4) Placement import can be used to ADD placement records for your workers linked to the customers. Import type ‘Placements’ must be selected to import this data. (5) Timesheets import can be used to ADD payable timesheets for your workers that have placement records. Import type ‘Timesheets’ must be selected to import this data.
Both Placements and Timesheets are dependent on the customer and workers. If these don’t exist, then the timesheet/placement import will fail with an error.
(6) Perm placements import can be used to ADD placements for candidates linked to customers. This import is dependent on Customers for invoicing purposes. Import type ‘Perm Placements’ must be selected to import this data.
(7) Worker rates import can be used to ADD transactions for workers. They can be other payments, adjustments, or other simple deductions. Import type ‘Worker Rates’ must be selected to import this data.
(8) Statutory import can be used to ADD statutory sick payments or Student Loans for PAYE workers. Import type ‘Statutory’ must be selected to import this data.
(9) Parental forms import can be used to ADD statutory maternity payments, statutory parental payments, statutory shared parental payments, statutory bereavement pay or statutory adoption payments. Import type ‘Statutory’ must be selected to import this data.
(10) Static data import can be used to UPDATE existing workers. The following values can be updated: NI Letter, Pension, Student Loan or Tax Code. Import type ‘Static Data’ must be selected to import this data.
(11) Attachment of Earning Orders can be used to ADD order deductions for PAYE workers. These can be Court Orders, Council Tax Orders, DWP, CM, CMA etc. deductions. Import type ‘Attachment of Earnings Order’ must be selected to import this data.
(12) Backing Data import can be used to ADD invoice related data to the timesheets or placement files only. This is not a separate import file, but it is dependent on the timesheets/placement for billing purposes, as it helps to define how the Sales invoices are output for customers/clients. To import backing data, you should include it as a sheet inside either placement or timesheet import file. This is driven by a configuration and the billing scheme needs to be set up or enabled to successfully import the backing data.
