Adding Timesheets

PurePro allows users to add timesheets for workers and customers, capturing essential details such as hours worked and associated tasks. In addition to entering time data, users can upload scanned documents and supporting materials, such as backing data, to provide context for the timesheet entries. This feature streamlines timesheet management, ensuring accurate record-keeping and easy access to relevant documentation for both workers and customers.
Timesheets are driven by placements created against workers and customers and are processed in a payroll period.

Adding Timesheets

PurePro supports adding timesheets for records where a placement already exists or timesheets which automatically create a associated placement records against the worker and the customer.

Adding Timesheets with Placements

Users can process timesheets against existing placement records.
To add a timesheet with existing placement record, follow these steps:
    Navigate to Timesheet → Timesheets
    Click on "Create New"
    Add the placement reference against which timesheet is to be processed
    Add other relevant details, as required
    Click on "Save"
Alternatively, users can also add timesheets directly from the placement record. For further information refer to  Placement  guide.
Work Period defines the period timesheet is added for. Users can backdate a timesheet for a previous work period and process it in current period. Similarly, a timesheet can be added for future work period (Future timesheets can only be edited or processed in relevant period).

Adding Timesheets with Auto Create Placement

Users can process timesheets for workers and customers in cases where a placement does not exist. When timesheets are added in this way, the system will automatically generate the corresponding placement records.
To add timesheets with auto create, follow these steps: -
    Enable the "Auto Create Placement"  configuration .
    Navigate to Timesheet → Timesheets
    Click on "Create New"
    Add the worker reference
    Add Customer Reference
    Add other relevant details, as required
    Click on "Save"
Click on "Save & Add" to add another placement record subsequently otherwise "Save" to add information to newly created placement record.
After saving timesheets, users can make required updates by clicking on the "View" button against the timesheet under actions on the Timesheet Page.
Timesheets can be deleted by clicking on the "Delete" button against the timesheet under actions on the Timesheet Page
Timesheets processed in previous periods and current periods where invoices have been marked as confirmed cannot be updated or removed/deleted.

Adding Timesheet Information

After adding timesheets, users can add various timesheet related information, including pay and bill rates, backing data, scanned documents, etc.
To add timesheet information, on the "View" button against the timesheet under actions on the Timesheet Page.
The Timesheet is divided into 5 segments as follow:
    Details: Users can add and update timesheet details including timesheet date, work period and process period.
    Rates: Users can add different timesheet rates including pay rate, bill rate and VAT (where applicable) to pay the worker and process associated payslip/remittance and invoices.
    Activity: Users can access timesheet related audit logs.
    Backing Data: Users can add timesheet related  Backing Data .
    Documents: Users can upload timesheet related documents. Supported documents are:-
    Scanned Timesheet: - Scanned copy of the physical timesheet
    Expense Receipt: - Scanned copy of timesheet expense receipt
Uploaded documents can be added onto and sent via the invoices, more further information, please refer to our  Billing Scheme  guide.
Timesheet pay rate is validated against the National Minimum Wage as per worker's age. User is informed of any discrepancy via tasks and notifications.
Invoice and Payslip links can be accessed from "Timesheet Details" if pay and bill rates have been added to the timesheet.
Users can streamline the timesheet process by automating timesheet generation based on placement data. To add recurring timesheets, please refer to our  Placement  guide.

Adding Timesheets for IR35 Contractors

Users can process the IR35 timesheets in the application, which applies the IR35 rules to the payslip processed against the contractor worker.
To add timesheets for IR35 contractors, follow these steps: -
    Navigate to Timesheet → Timesheets
    Click on "Create New"
    Add a Timesheet using appropriate method
    Enable "Inside IR35"
    Add other relevant details
    Click Save
IR35 timesheets can be processed against contractors with "Starter Form". For more information, please refer to our  Starter Form  Guide.
"Inside IR35" flag applies to individual timesheets and would not be auto applied to any following timesheets against the contractor.
