Sending & Downloading Documents

PurePro allows users to easily send and download various documents, such as payslips, tax forms, and invoices. This feature streamlines the distribution and retrieval of important documents, ensuring secure and efficient communication between the system and users. Whether sending documents to employees or downloading them for internal use, PurePro provides a simple interface to manage document exchanges effectively.
Sending of documents is driven by the delivery method selected under entity. Users can select payslip/remittance delivery method under worker details and invoice delivery method under customer details.
PurePro supports following delivery methods:
    Paper: - Allows users to generate pdf version of documents.
    Email: - Allows users to send documents to an email.
When delivery method is set as paper, the application generates print runs which contains the associated documents in pdf format. These print runs can be downloaded from the application onto the user's system. For further information, please refer to our  🖨️Print Run  guide.
When delivery method is set as email, users can send the documents generated in the application via email to workers and customers as required.
Users can send payslips/remittances and individually or send all documents together via control centre.

Sending Documents via Control Centre

To send documents via control centre, follow these steps:
    Navigate to Control Centre
    From the list of available tasks, close:
    "Send Payslips" to send all available payslips in current period via email
    "Send Remittances" to send all available payslips in current period via email
    "Send Sales Invoices" to send all available payslips in current period via email
Users can also close other relevant tasks to send other documents via email as required.
To send and download individual payslips/remittances and payslips, follow information below:

Sending & Downloading Payslips/Remittances

Payslips/Remittances can be downloaded and sent via email after processing.
To download a payslip or remittance, follow these steps:
    Navigate to Payroll→ Payslip
    View a Payslip/Remittance by clicking on it
    Click on "Download" in the bottom right corner
Payslips/Remittances are downloaded in PDF formats.
Payslips/Remittances can only be sent via Control Centre and cannot be sent individually.
However, post closing the "Send Payslip" task in the control centre for a payroll period, users can resend individual payslips to worker's default email address or another email address as required.
To resend an Payslips/Remittances, follow these steps: -
    Navigate to Payroll → Payslip
    View an Payslips/Remittances by clicking on it.
    Click on "Re-Send" button in the bottom right corner
    Add "Contact Email" and "Message" as required in the pop up model.
    Click on "Send" in the bottom right corner
Only Payslips/Remittances marked as "Sent" and can be resent.
Users can also  send payslips & remittances as draft  before confirming to ensure accurate information.

Sending & Downloading Invoices

Invoices can be downloaded and sent via email after processing.
To download an Invoice, follow these steps:
    Navigate to Billing → Invoices
    View an Invoice by clicking on it
    Click on "Download" in the bottom right corner
Invoices are downloaded in PDF formats. Invoice attachments can also be downloaded from the "Attachments" section.
Invoices can be sent via email to the customer contacts.
To send an invoice, follow these steps: -
    Navigate to Billing → Invoices
    View an Invoice by clicking on it
    Click on "Send" in the bottom left corner
The invoices will be sent to the email saved under customer details.
Only invoices marked as "Confirmed" can be sent.
Users can also resend invoices to the customer's default email address or another email address from the invoices page.
To resend an invoice, follow these steps: -
    Navigate to Billing → Invoices
    View an Invoice by clicking on it
    Add Contact Name, Email and message as required in the fields below "Invoice Details"
    Click on "Re-Send Invoice" in the bottom left corner
Only invoices marked as "Sent" and can be resent.
